Privacy Policy
The short version
- We collect only what we need to publish your posts and run your account.
- Your data is stored in the EU (Frankfurt). We never sell or share it for advertising, and never use your content to train AI.
- Analytics never see your captions, files, emails or links, and in the EU they only run if you say yes.
- You can download or delete everything from the app at any time. Deleting your account also removes Octoque’s access to your platforms.
- Questions or requests: hello@octoque.com or the privacy request form.
Consent notice
When you create an account, you agree that Zenproducts Technology Private Limited may use the following personal data for the following purposes. You can read this notice on its own.
- Data: your name, email, password (as a hash), time zone, country and language; your team members’ names and emails; the videos, photos and captions you upload; the handles of accounts you connect and the results platforms report; your plan and billing status; your IP address and how you use the app; messages you send us.
- Purposes: to create your account; to schedule, publish and report on your posts on the platforms you choose; to send you notices about your posts, team and plan; to keep the service secure; to bill you through Paddle; and, if you allow it, to improve the product with analytics and send weekly results emails.
- Withdraw consent as easily as you gave it: switch off optional emails and analytics under You → Notifications and You → Privacy & data, disconnect platforms under Connected accounts, or delete your account under You → Privacy & data. Withdrawing doesn’t affect what happened before.
- Your rights: see, correct, update and delete your data, and nominate someone to act for you, from the app or with the privacy request form.
- Complaints: to our Grievance Officer at hello@octoque.com; if you aren’t satisfied, you can complain to the Data Protection Board of India, or to the data protection authority where you live.
Who we are
Octoque is run by Zenproducts Technology Private Limited, Block B-400, 2nd Floor, Greenfield, NHPC Colony, Faridabad, Haryana 121010, India (“we”). We decide how your account data is used: we are the “controller” under the EU and UK GDPR and similar laws, and the “Data Fiduciary” under India’s Digital Personal Data Protection Act, 2023.
When a business uses Octoque to publish content about other people (for example, a team member’s video featuring customers), we process that content on the business’s instructions as its “processor”; our Data Processing Addendum covers this.

What we collect
| Category | What it includes | Where it comes from |
|---|---|---|
| Account | Name, email, password if you set one (stored only as a secure hash), time zone, country, language, theme, notification choices, when you accepted our terms | You |
| Continue with Google, if you use it | From Google: your name, email, whether Google has verified that email, and your Google account ID. Google also offers your profile photo link; we don’t use or keep it. We never receive your Google password, and keep no Google access keys | Google, when you choose Continue with Google |
| Workspace and team | Workspace name, team members’ names and emails, roles, invitations, approvals | You and your team |
| Content | Videos, photos, captions, schedules, the copies we make to fit a platform (for example a trimmed video) | You |
| Connected accounts | Platform, handle, account ID, connection status. The access tokens are held by our posting service providers, not on your device | The platform, when you connect |
| Results | Post links, publish status and the numbers platforms report (views, likes, comments, shares) | The platforms |
| Integrations you turn on | Your Canva connection (an encrypted sign-in key and your Canva name), a private calendar link (we keep only a scrambled copy), and the devices you turned alerts on for. Files you pick in Google Drive, Dropbox or Canva are fetched once; we don’t keep access to those services’ other files | You, when you connect them |
| Auto DMs you set up | Your keywords, the message, link and public replies, and the counts (comments answered, DMs sent and read, link clicks). The names and comments of people who commented, and the emails they sent you when you collect emails, are read from Instagram or Facebook when you open an auto DM or download the list, and shown only to you; we don’t store them. For collected emails you decide how they’re used, and you’re responsible for that use | You, and the platforms |
| Your posts’ numbers | For Insights, the posts on your connected accounts (including ones you made in the apps themselves): their link, the first 300 characters of the caption, the cover link, when they went live, their views, likes, comments and shares, and your daily follower count | You, and the platforms |
| Insights from Octoque AI | A topic for each post (from its caption), and once a day a summary of your recent comments: how many are positive, questions or critical, and the questions asked most, reworded by Octoque AI. The comments are sent to our AI provider only to make that summary (no training, no retention there) and are not stored by us; the summary is | You, and the platforms |
| What was said in your videos | When you use Octoque AI or Find clips on a video, its sound is turned into text by our speech-to-text provider (not kept there, never used for training). We keep the text with the video to write captions and choose clips | You |
| Clips | Short videos Octoque cuts from your longer ones when you ask, with the moment they came from | You |
| Your link in bio and media kit | Your page name, photo, bio, links, look and media kit choices, and per day how many times the page and the kit were viewed and each link was clicked. We don't record who: no IP addresses, cookies or device details are kept for these counts | You, and visitors (as counts only) |
| Saved captions, ideas and brand deals | Text you save, your ideas, and your deals (brand, contact, amount, due date, what you'll post, notes). A results link you share shows the brand only that deal's live posts and their numbers, never the amount or notes | You |
| Client reports and report branding | Each report's title, account and dates, and a secret link. On Studio, your brand name, logo and colour for reports. A report link shows only that account's numbers for those dates | You |
| Comments on your posts | Read from the platforms when you open Comments and shown to you; we don’t store them. We keep only which comments you marked done (the platform’s comment id). Replies you write are posted to the platform for you | You, and the platforms |
| Messages and reviews | Your DMs and your Google reviews are read from the platforms when you open Messages or Comments and shown to you; we don’t store them. Replies you write, and photos you pick from your Library to send, are sent to the platform for you | You, and the platforms |
| Mentions (Studio) | The keywords you track, and for each post found: the post’s id, its link, a short piece of its text (up to 280 characters), the author’s handle and the time, plus whether you marked it done. If you switch it on, a mood and topic for each mention from Octoque AI. To search, we send only your keyword to YouTube (Google), Bluesky, Instagram, Threads, and X if it’s switched on | Public posts on those platforms |
| Boosts | Which post you boosted, the ad account you picked, your budget, days, audience and goal, who confirmed it and when, and the results the platform reports (spend, reach, clicks, cost per result). Ad money never passes through Octoque: the platform charges your own ad account | You, and the platforms |
| Who follows you | Once a day, totals the platforms share about your audience: when followers are online, and the share by age, gender, country and city. Never individual people. Shown in Insights, and in your media kit only if you switch it on | The platforms |
| Bluesky app password | Used once to connect your Bluesky account and passed straight to Bluesky; we never store or log it. You can revoke it in Bluesky any time | You |
| Billing | Plan, status, renewal date, country for tax, invoice references. Never your full card number | Paddle |
| Usage and device | Actions in the app (with your consent where needed), IP address, browser type, error reports, security and audit logs | Your device |
| Messages and requests | Feedback, support emails, reports and privacy requests you send us | You |
| Waitlist | Your email, the page you joined from and your country (from your browser’s language), if you leave your email while sign-up says “Opening soon” | You |
We don’t ask for sensitive data such as health, religion or biometrics, and we ask you not to put it in captions we don’t need. Giving us your name, email and password is needed to create an account; everything else is up to you.
Why we use it, and the legal basis
| Purpose | Data | Legal basis |
|---|---|---|
| Create and run your account; schedule, publish and show results of your posts | Account, workspace, content, connected accounts, results | Contract (GDPR 6(1)(b)); your consent (DPDP s.6) |
| Send service emails: failed posts, approvals, invitations, receipts, renewal reminders, rules reminders | Account, content (post preview), billing | Contract; legal obligation for some notices |
| Weekly results and tips emails | Account, results | Your consent; switch off any time |
| Tell you when Octoque opens, if you joined the waitlist | Waitlist | Your consent; ask us to remove it any time |
| Keep Octoque secure: sign-in protection, rate limits, abuse and fraud prevention, audit logs | Usage and device, account | Legitimate interest in security (6(1)(f)); legal obligation; legitimate use (DPDP s.7) |
| Improve Octoque with product analytics (event names only, never your content) | Usage | Consent in the EU; legitimate interest with an opt-out elsewhere |
| Handle billing, tax and refunds (through Paddle) | Billing, account | Contract; legal obligation |
| Answer your messages, reports and requests; meet legal duties such as responding to lawful orders | Messages, account | Legal obligation; legitimate interest |
We don’t make decisions about you based only on automated processing that have legal or similarly significant effects. Golden-hour times are suggestions you can ignore. Automated checks flag possible abuse, and a person reviews any decision to restrict an account.
Connected platforms
When you connect a platform, you sign in on its own page and choose what to allow. We ask only for what Octoque needs: publishing your posts and reading their results. We publish only what you schedule or approve, and we show you exactly what will be posted before it goes out.
- YouTube. Octoque uses the YouTube API Services. By using our YouTube features you agree to the YouTube Terms of Service, and Google’s use of your data is covered by the Google Privacy Policy. We use YouTube data only to publish your videos and show their results, and we don’t share it with anyone except our service providers who help us do that. You can remove Octoque’s access at any time in your Google security settings, as well as in Octoque. Octoque’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- Instagram and Facebook (Meta). We use Meta data only to publish your posts and show their results. We never sell it, and never use it for profiling, advertising or decisions about eligibility. Step-by-step deletion instructions for every platform are on Deleting your data.
- TikTok, X and LinkedIn. We use their data only to publish what you ask and show results; we don’t sell it, use it for advertising or combine it to identify people. We keep only what we need and delete it when you disconnect or ask us to.
Continue with Google
You can sign up and sign in with your Google account instead of a password. We ask Google only for basic sign-in information (the “openid”, “email” and “profile” permissions): your name, email, whether that email is verified, and your Google account ID, which we use to recognise you next time. We don’t use your profile photo, and we don’t ask for access to your Gmail, Drive, contacts or anything else. We keep your Google account ID and email while Google is linked; you can unlink it in You → Sign-in & security once you’ve set a password, and remove Octoque from your Google account’s connections at any time. Our use of information received from Google follows the Google API Services User Data Policy, including the Limited Use requirements (above).

Each service provider works under a written contract that limits it to providing its service to us, requires security safeguards and passes the same duties to anyone it uses. The list, with locations, is on our service providers page. We also share data when the law requires it, to protect people from harm, or with a company that takes over Octoque (we’d tell you first). We do not sell or “share” personal information for cross-context behavioural advertising, and haven’t in the past 12 months.
International transfers
Your data is stored in the EU. It is accessed from India, where our company is, and some service providers process it in the United States and other countries. When data moves to a country without an adequacy decision, we use the EU Standard Contractual Clauses (and their UK addendum), the EU-US Data Privacy Framework where the provider is certified, and equivalent contract terms required by the laws of India, the UAE, Saudi Arabia and Singapore. Ask us for a copy of the safeguards.
How long we keep it
We keep data only while it’s needed for what you use Octoque for, or while the law requires it. A daily job erases each kind on time.
| Data | How long |
|---|---|
| Your account, workspace, team and settings | While your account is open. Erased at once when you delete your account. |
| Captions, schedules, post history, links and results | While your account is open, unless you delete the post first. |
| Videos and photos you upload | Until you delete them or your account. A video leaves 90 days after every post using it is live (or done); the post keeps a still image of it. A video in an active evergreen post stays while it's evergreen. Photos and cover images stay with their posts. |
| What was said in a video | With the video: removed when the video is deleted or leaves Octoque. |
| Clips | Like any upload: until you delete them or your account. |
| Link in bio views and clicks | 13 months, as daily counts. The page itself stays until you delete it or your account; unpublished pages aren't shown to anyone. |
| Saved captions, ideas, brand deals and evergreen settings | While your account is open, unless you delete them first. Switching off a results link stops it at once. |
| Client reports and report branding | While your account is open, unless you delete them first. Deleting a report stops its link at once. |
| Copies made to fit a platform (for example a trimmed video) | Removed with the video, or as soon as you delete the post. |
| Accounts nobody uses | Deleted after 2 years without a sign-in, after two emails (30 and 7 days before). Never while you’re on a paid plan or have posts scheduled. Signing in keeps your account. |
| Notifications in the app | 90 days. |
| Auto DM settings and counts | Until you remove the auto DM, its post or the account. Commenters’ names, comments and emails aren’t stored. |
| Your posts’ numbers and follower counts | With the account: removed when you disconnect it or delete your account. Follower counts keep 120 days. |
| Post topics and the comment summary | With the post or the workspace. The summary is replaced every day. |
| Mentions | 90 days from when they were found, then deleted. Your keywords stay until you remove them or the workspace. |
| Boosts and their results (spend, reach, clicks) | Kept with the post: removed when you delete the post or your account. The log entry for each boost follows the security log rule (1 year). |
| Comments you marked done | Only the comment’s id, until you remove the account. |
| Your Canva connection and calendar link | Until you disconnect Canva, reset or turn off the link, or delete your account. |
| Devices you turned alerts on for | Until you turn them off, sign out everywhere, or the browser stops accepting them. |
| Your Google sign-in link (Google account ID and email) | Until you unlink Google in You → Sign-in & security, or delete your account. A Google sign-in in progress is erased after 10 minutes at most. |
| Sign-in sessions, password-reset and confirm-email links, team invitations | Until they expire (sessions after 30 days, links within 3 days, invitations after 7 days). Expired ones are erased within 7 days (invitations within 30). |
| Security, access and processing logs | 1 year, to investigate misuse, as India’s DPDP Rules require; then erased. |
| Octoque AI credit use | 13 months (only that a credit was used, and for what kind of task). We don’t keep what you asked Octoque AI or what it wrote. |
| Feedback you send from the app | 2 years. |
| Waitlist emails | Until you’re invited to sign up, or 12 months at most; sooner if you ask. |
| Reports, legal and privacy requests, and what we decided | 3 years, or longer if an authority asks. |
| A note that a social account already had a free trial | 3 years, as a one-way code (nothing readable), so each account gets one trial. |
| A minimal record of a deleted account (name, email, country, dates) | 180 days after deletion, as India’s IT Rules require, then erased. |
| Data from YouTube | Refreshed or deleted at least every 30 days; deleted within 7 days if you disconnect in Octoque, and within 30 days if you revoke access in your Google settings. |
| Posts deleted or changed on X | Removed or updated in Octoque within 24 hours. |
| Product analytics | 1 year. |
| Error reports and server logs | 90 days. |
| Backups | Roll off within 35 days. |
| Invoices and tax records | Kept by Paddle as tax law requires. |
Your rights
Wherever you live, you can:
- see and download your data (You → Privacy & data → Download your data, and Download your files);
- correct it (You → Profile) and delete it (delete your account, or ask us);
- withdraw consent and object to analytics or emails (You → Notifications, You → Privacy & data);
- ask us to restrict how we use it, and get a summary of who we shared it with;
- nominate someone to act for you, or use an authorised agent; and
- complain to us, and then to a regulator (below). We never treat you differently for using your rights.
How to ask: use the app, the privacy request form, or email hello@octoque.com from your account email (that’s how we confirm it’s you). We acknowledge requests at once and answer within 30 days (one month in the EU and UK; 45 days in California), and tell you if we need longer and why. If we refuse, we explain why and how to appeal: reply to our answer, and a different person will review it within 45 days.
Where you live
European Union and United Kingdom
You have all the rights above, plus portability, and the right to object to processing based on legitimate interests. You can complain to the data protection authority where you live or work (in the UK, the Information Commissioner’s Office). In the UK, you can first complain to us with the complaint form: we acknowledge within 30 days, and in practice the same day.
United States
Under California and other state privacy laws: in the past 12 months we collected identifiers (name, email, IP address), customer records, commercial information (plan and billing status), internet activity (use of the app), and the content you upload, from the sources and for the purposes above. Your account login is sensitive information that we use only to provide the service. We don’t sell or share personal information, don’t use it for targeted advertising or profiling, and don’t knowingly collect data of anyone under 16. We honour Global Privacy Control: if your browser sends it, we switch analytics off for that browser. Every US resident can use the rights above, including appeal; if we deny your appeal you can contact your state Attorney General.
India
You have the rights under the Digital Personal Data Protection Act, 2023, including to nominate someone to exercise them if you die or can’t act. Contact our Grievance Officer first; we acknowledge within 24 hours and resolve within 7 days. If you aren’t satisfied, you can complain to the Data Protection Board of India.
United Arab Emirates, Saudi Arabia and the Gulf
You have the rights under your country’s personal data protection law, including to know, access, correct, delete and port your data and to object to direct marketing. We answer within 30 days. You can complain to us, and to your regulator (in Saudi Arabia, the Saudi Data and AI Authority).
Singapore
You can access and correct your data and withdraw consent under the Personal Data Protection Act 2012. Our Data Protection Officer is listed above. You can complain to the Personal Data Protection Commission.
Cookies and similar technology
We use one essential cookie to keep you signed in (plus a 10-minute one while you continue with Google) and store a few choices on your device (language, theme, workspace, your analytics choice). Product analytics use a random ID stored on your device, only with your consent in the EU, UK and Switzerland, and never for advertising. We don’t use advertising trackers, and no third party serves ads or content on Octoque. Details are in the Cookie Notice.
Children
Octoque is only for people aged 18 and over. We don’t knowingly collect data of anyone under 18. If you think we have, tell us and we’ll delete it.
Security and breaches
We encrypt data in transit and at rest with our hosting providers, hash passwords, keep platform access tokens with our posting service providers rather than in your browser, limit staff access, log and monitor access, rate-limit sign-in, and keep backups. If a breach affects your data, we tell you without delay (what happened, the likely effects, what we’re doing and what you can do) and notify the authorities within the time the law sets (for example 72 hours in the EU, UK, India and Saudi Arabia, and 3 days in Singapore).
Changes and contact
We tell you about material changes by email and in the app before they apply. Questions: hello@octoque.com · Zenproducts Technology Private Limited, Block B-400, 2nd Floor, Greenfield, NHPC Colony, Faridabad, Haryana 121010.
